In this modern day and age, as a delivery rider, we seldom come across a cash order. However, it is always good to know the procedures and the various options available to accept cash orders when online. First off, we will start with the main, which is handling cash itself.

How much to stand by?

I don’t usually have that much cash with me when I’m on shift. When I get a cash order, I usually have a template text to send to the customers to inform them to have the exact change ready and the options available on my side if they don’t have any.

On the other hand, delivery companies would suggest having a minimum requirement of at least $50 in change for cash orders. I find that having about $30 in coins and notes is more than sufficient. If you wish to have the text template that I use, it’s below:

Hi! Thank you for ordering with [Delivery company]. I hope you have an exact change for your order as I don’t have any cash with me. PayNow option is also available.

Take it down and make it into your own, if you must. Otherwise, you can use it as it is. Alternatively, save it in your app as a template reply for easier access.

What other alternatives are available?

Another common method of collecting payment for cash orders is payment transfers. The common practice here in Singapore is using PayNow. For those who do not know, PayNow is a form of payment transfer using your mobile phone that’s associated with the person’s bank account. Once the payer keys in the payee’s mobile number, his/her name can be seen in the payer app. The payer then verifies by mentioning the payee’s name. After that, the transfer process begins.

The latest technology that is associated with the PayNow feature is the QR code. Individual bank account holders that have the PayNow function initiated have been issued with their own QR code for collecting payments. You can get the QR code by following these steps:

  1. Log in to your banking app
  2. Go to the scan feature of the app
  3. Then click on ‘Show My QR’

This QR feature is available on almost all banking apps. The process above is from an OCBC account. The requirement is to have a PayNow feature enabled only then you can access the QR feature. OCBC bank also allows the payee to set the payment amount required for the payer.

The introduction of the QR code feature is very useful, especially for those who prefer to keep their contact number private.

Cash order payment collection

PayNow is an easy way of collecting payments for cash orders. However, it is not advisable to collect the payment when you have not reached the customer’s address. This is to avoid unnecessary allegations from both parties.

So always collect payment only when you have reached the customer’s home. the procedure to collect is as below:

  1. Upon reaching the customer’s home, hand the food over to the customer
  2. For mobile numbers, usually, the customer will automatically ask for your mobile number. If you are using the QR code method, simply show the customer the QR code and the app(if you have set the payment amount for your QR code.)
  3. Once the transfer is done, the customer will show ‘transaction Successful’ on his app as proof of payment.
  4. Now you can either verify or just swipe ‘Order Complete’ on your app.

I usually just check the transaction status on the customer’s app only as it will reflect your account on the first line of the transaction status. Hope this article helps.
